The Legal Operations Specialist
The Legal Operations Specialist will implement and support simplified processes and solutions that enable the Legal Department to execute its day-to-day financial operations efficiently. The role will have visibility into the key activities and overall spend of the Legal Department, which includes Commercial, Compliance & Ethics, Corporate Trade Compliance, Intellectual Property, Litigation, and SEC/Corporate Governance.
Key responsibilities are described below:
Financial Management:
Plan legal spend, create budgets, implement and monitor e-Billing for legal services, manage accruals, and forecast expenses.
Lead the continuous improvement of the Department practices for budgeting and forecasting, legal spend reporting, and establishing and reporting accruals and reserves.
Assess and implement effective information management tools to collect and report relevant information regarding Department activities and related spend.
Coordinate seamlessly with Corporate Accounting and Treasury teams on accounts payable, accruals, outlook adjustments, settlement payments/check requests and reserve reporting.
Vendor Management:
Developing analytics and reporting for key vendor metrics, including diversity and inclusion.
Assist the Legal Department's efforts to conduct regular business reviews with outside counsel, negotiate fee agreements and drive governance of billing guidelines.
Implement billing guidelines and ensure vendor compliance with company policies and billing guidelines. Oversee process for intake, review and approval of vendor invoices.
Maintain process for assessing vendors and identifying preferred vendors and onboarding of new vendors.
Support vendors and internal stakeholders on billing issues.
Workflow Simplification and Process Improvements in Knowledge Management:
Partner with Department leaders in each Practice Area to understand processes/workflows and develop recommendations for improvement.
Facilitate knowledge hubs by managing and maintaining resources on the Legal Department intranet.
Information, Systems and Technology:
Assist with evaluation of existing technologies and underlying process requirements to assess future needs and make recommendations for changes to existing systems or other uses of technology to improve Department operations.
Serve as a liaison with Corporate IT regarding technical support of the Department and integration of the Department's processes with companywide processes and systems.
Additional Support: Will support various Department activities and special projects, such as Department meetings.
Qualifications
Bachelor's Degree required; Project Management certificate and/or MBA. is a plus
4+ years of prior experience in Accounting or business
operations for a law firm and/or in-house Legal Department is strongly preferred Experience with legal technology systems, preferably Passport billing: matter management and e-billing
Tech-Savvy; Ability to speak/understand technical language, translate for others, and avoid misunderstandings. Solid experience developing, documenting, and improving processes
